Terms & Conditions

These terms and conditions do not form a contract for the supply of hire vehicle services. The vehicle hire service will be supplied under a separate hire agreement entered into with a member of Ideal Car Hire. You will also be subject to standard Ideal Car Hire Terms & Conditions as to capacity to drive the vehicle.

 

1. AGE


1.1 Minimum age: 21 years. Young Drivers Surcharge of £12 per day including VAT will apply where the driver is under 25 years old.

1.2 Maximum age: 70

 

2. DRIVING LICENCE & ADDRESS PROOF

 

2.2   A full and valid driving licence must have been held for a minimum of 12 months, Foreign Driving Licence holders must have had their Driving Licence for at least 3 years if it is less than 3 years prior authorisation will need to be obtained from our insurer. The new style UK driving licence must be accompanied by its counterpart. The paper counterpart is not acceptable on its own both parts need to be presented at the rental station when collecting the car or van. Proof of address must also be provided for UK residents.

The following restrictions apply to endorsements recorded on UK driving licences.

2.4 ADDITIONAL DRIVER


With the prior consent of Ideal Car Hire, the car or van may be driven by other persons. All drivers must meet the standard Ideal Car Hire Qualifications, shown above. An additional driver(s) charge may be levied.
                       

3. CANCELLATIONS

 

3.1   BOOKINGS MADE ONLINE AND PRE-PAID


If you cancel your pre-paid reservation within 48 hours of placing the booking Ideal Car Hire will give a full refund. If you cancel your booking after 48 hours from the time of making the booking no refund will be made.
Please note if appropriate I.D., the necessary payment/deposit is not provided at time of pick up or the Terms and Conditions are not adhered to in any way, and the rental cannot commence, no refund will be made. Cancellations may be made on this website or by phone and a cancellation confirmation will be emailed to you - please retain this for your records.
No Cancellations can be made on the website after the rental start date & time.
Cancellations made online via the website via Contact Us. Confirmation email will be sent confirming your booking is cancelled.


3.2 BOOKINGS MADE ONLINE NON-PREPAID


If you have chosen to pay for the car or van upon collection of your car or van and your travel plans change, you may cancel your booking free of charge anytime up until 48 hours before your rental is due to start.


3.3 EARLY RETURN


Please note that we are unable to give a refund if you return the vehicle early.

 

4. NO SHOW

 

4.1 BOOKINGS MADE ONLINE AND PRE-PAID


Unless you have cancelled your reservation in accordance with the above terms, if you do not collect your vehicle at the time specified on the prepaid rental voucher, no refund will be made.
IDEAL CAR HIRE location will, however, hold your rental vehicle available for you for 1 working hours after the time of the reservation. (unless this is outside the renting location's opening hours)


4.2 BOOKINGS MADE ONLINE NON-PREPAID


Your vehicle will be reserved and made available to you. Should you fail to pick up the vehicle within 1 hour from the pickup time and date, or in the case of airport rentals, within 2 hours of the flight arrival time if a flight number has been provided to IDEAL CAR HIRE, IDEAL CAR HIRE reserves the right to charge a No Show Fee. This fee will be £45.00, exclusive of VAT, as appropriate at station closing time. The fee will be to compensate IDEAL CAR HIRE for loss of revenue and costs incurred in reserving and preparing a vehicle.

 

5. PAYMENT METHOD


5.1 BOOKINGS MADE ONLINE AND PRE-PAID


When you have selected to book a vehicle and pre-pay for it this will need to be processed online and the payment made by Credit or Debit card for the full amount of the rental charges any extras can be paid at the rental station. The voucher will be issued when the payment has been authorised and a confirmation will be sent with the voucher.

 

5.2 BOOKINGS MADE ONLINE AND PAID ON PICK UP


When you have selected to book a vehicle and pay on pick you will need to bring your method of payment with you and the payment will be required to be made from the main driver. Upon booking a confirmation email will be sent out confirming you booking details.

 

6. RENTAL PERIOD

You will have the vehicle for the hire period shown in your Booking Confirmation. If you do not bring the vehicle back on time, or if you do not contact us and get our agreement to an extension of your rental, you are breaking the conditions of this agreement. We can charge you for every day or part-day you have the vehicle after you should have returned it to us. Until we get the vehicle back and the keys we will charge you the daily rate specified on the rental agreement when you collect the vehicle.


You will remain liable for any damages until a Ideal Car Hire staff takes possession of the vehicle with the key.

 

7. DELIVERY AND COLLECTION

 

Where you ask Ideal Car Hire and Ideal Car Hire agrees in writing to deliver the Vehicle or to collect the Vehicle, you may have to pay additional charges and follow additional instructions. You must check at the time of reservation.


You must return the Vehicle immediately if Ideal Car Hire request you to do so. In the event that the Vehicle is not delivered to Ideal Car Hire upon request you hereby authorise Ideal Car Hire to enter your premises and to do any and all other things necessary to repossess the Vehicle. You will be liable for any costs associated with such repossession. Ideal Car Hire may repossess any vehicle without notice or liability where Ideal Car Hire deems that such repossession is necessary for its own protection.


Ideal Car Hire Reserves the right to suspend, cancel or amend delivery and collection service at any time without prior notice.

 

8. VEHICLE IMAGES

 

Vehicle images are examples only. Specific models cannot be guaranteed.

 

9. STANDARD DEPOSIT

 

All hires are subject to a standard £200 deposit at the time of hire in addition to the rental charges. These funds will be Authorised* on all payment types where the card will be charged and refunded after the hire period.


*Authorised means that the amount is 'marked' against the card but not actually charged to it. The Authorisation therefore reduces the cardholder's available credit as against their approved limit. The amount does not appear on the customer's monthly statement.

 

10. VEHICLE CONDITION

 

A description of the condition of the Vehicle will be given to you at the same time as the rental agreement.


Before leaving the rental location, you are required to check the condition of the Vehicle. Where an apparent defect is found which is not already listed in the document, you must immediately inform an Ideal Car Hire employee at the branch in order to proceed with a joint-examination of the Vehicle.
In such a case, amendments must be made to the document and duly countersigned by both parties.


If the amended document is not countersigned by both parties, the condition of the Vehicle will be as set out in the document given to you with the rental agreement and it will be considered that you received the Vehicle in proper working condition.


You will return the Vehicle in the same condition as it was provided at the start of the rental.  You are responsible for any repair or refurbishment costs and these will be added to the cost of the rental.

 

11. USE OF VEHICLE

 

The Vehicle must not be driven by anyone other than you and then only under the condition that your ability to drive is not in any way impaired by mental or physical incapacity or restricted by the Law.


If you wish to take the Vehicle outside the country of rental, you must get prior written consent from Ideal Car Hire to permit you to take the car outside the UK.


You must take care of the Vehicle, keep it in good repair and condition, pay any fines for which you may be liable, reimburse Ideal Car Hire for any damage to the Vehicle, and refund Ideal Car Hire for any costs it incurs.


The Vehicle will be provided to you with a full fuel tank. You must only refuel the Vehicle with the correct type of fuel. Costs of fuel and for the refuelling service will be at your expense if the Vehicle is not returned with a full tank.


You are liable for all fees, taxes, fines and penalties incurred in connection with the use of the Vehicle and for which Ideal Car Hire is charged, unless they have arisen through the fault of Ideal Car Hire.


During the rental period you must carry out the usual checks (engine oil level, tyre pressure, etc.) as would any careful user and you must respect the maintenance cycle of the Vehicle as stated in the maintenance guide, if any.


When parking the Vehicle, even for a short period, you undertake to lock it and make use of the Vehicle's alarm and/or immobilisation equipment. You must never leave the Vehicle unoccupied with the keys in the ignition. Non-return of the keys will lead to invalidation of the theft cover.


You undertake to use the Vehicle in a responsible manner and in particular, only for the purposes for which it is intended. For a car, this means primarily carrying passengers other than for hire and reward.


In particular, you must not use the Vehicle under any of the following conditions or for any of the following purposes:


  • driving the Vehicle under the influence of alcohol, drugs or any other type of narcotic substances
  • transportation of inflammable or dangerous goods, as well as toxic, corrosive, radioactive or other harmful substances
  • carrying anything which, because of its smell or condition, harms the Vehicle or causes Ideal Car Hire  to lose time or money before it can rent the Vehicle again
  • transportation of live animals (with the exception of domestic pets, subject to prior authorisation by Ideal Car Hire)
  • with a roof rack, luggage carrier or similar, unless supplied by Ideal Car Hire
  • re-rental to or use by other persons
  • carrying passengers for hire or reward
  • participating in rallies, competitions or trials, wherever they may take place
  • giving driving lessons
  • pushing or towing another vehicle (except those vehicles equipped by Ideal Car Hire with a towing-hook; maximum load 1,000 kg), or exceeding the authorised load weight.
  • travelling on non-paved roads or on roads, the surface or state of repair of which could put the vehicle's wheels, tyres or its under body mechanics at risk
  • intentionally committing any offence
  • none of the goods and baggage carried in the Vehicle, including their packing and stowage equipment, will be permitted to damage the Vehicle, nor put the occupants abnormally at risk
  • in any way which breaks the highway Code, road traffic laws or any other laws

You will be liable for any offence committed during the rental period which relates in any way to your use of the Vehicle, as if you were the owner of the Vehicle. Upon the request of the Police or any official body Ideal Car Hire may have to transfer your personal data

 

12. MAINTENANCE

 

The Vehicle has been provided to you with a full set of tyres in good condition. In the event that any of them is damaged for any reason other than normal wear and tear, you undertake to replace it immediately at your own expense with a tyre of the same dimensions, type and wear characteristics.


You must stop the Vehicle if any of the instrument panel warning lights, which are intended to indicate the existence of a mechanical problem, light up, or if you become aware of anything else which may indicate the presence of a mechanical problem with the Vehicle.


If the odometer has stopped functioning for any reason other than a technical failure, you will be required to pay a distance charge according to the rates in force in the country of rental.


When the rental starts, the Vehicle will be roadworthy and fit for normal use. If it is not, or if it becomes un-roadworthy or unfit for normal use during the rental because of mechanical breakdown or accident, you must inform an Ideal Car Hire branch or telephone the emergency number shown on the wallet of the hire agreement.


Ideal Car Hire will have the choice between replacing the Vehicle or accepting repairs to be done to the Vehicle. In the latter case, repairs can only be made after written or oral confirmation from and instructions given by Ideal Car Hire as well as prior acceptance by Ideal Car Hire of the estimation of costs. You must be able to provide the name and station name of Ideal Car Hire accepting the repairs. Without prejudice to any question of liability, the expenses for the repairs may be charged directly to Ideal Car Hire. If not, Ideal Car Hire reserves the right to request from you the remittance of the defective pieces and the paid invoice.


The fees and expenses of any repair undertaken without the order of Ideal Car Hire will not be reimbursed to you.


You must inform Ideal Car Hire of all accidents, damage to or breakdowns of the car, even those which may already have been repaired, when you return the Vehicle. You will remain liable for any damages to Ideal Car Hire.


In any case, neither Ideal Car Hire nor its directors, officers or employees will be liable to you for any loss or damage (including but not limited to loss of profit or earnings...) nor, to the extent permitted by the Law, for indirect consequential damages whether your action is based on contract or in tort.

 

13. BREAKDOWN

 

For the length of the rental, as agreed with Ideal Car Hire, you have the benefit, at no extra cost, of a Breakdown and Assistance Service. If required, this service can be contacted by calling the telephone number indicated on the wallet of the rental agreement or on the windscreen or on the key holder.


In order to benefit from this cover, you must make contact with the Breakdown and Assistance Service immediately after the occurrence of the incident. If you do not contact the Breakdown and Assistance Service and if you initiate steps or make any disbursements without the prior consent of Ideal Car Hire, you will not be able to claim for reimbursement of the expenses. The rule of prior approval does not apply in the event of breakdown on motorways and solely in this case. Consequently, the roadside repair or towing expenses will be reimbursed to you.

 

14. DAMAGE LIABILITY

 

14.1. The conditions of our Insurance and Damage Protection Programme will apply. We will give you separate information on the Insurance and Damage Protection Programme and any restrictions and exclusions which may apply.


14.2 We will provide cover for loss or damage to the vehicle but there are damage excess amounts which you are personally responsible for. Depending on your age and the type of vehicle rented it is possible to pay an additional amount to lower the damage excess amount. The damage excess amount you have to pay is shown on the hire agreement.


14.3 We have a legal responsibility to have third party insurance. This provides cover for claims made against you for the death or injury of the other party in an accident (unlimited liability). It also provides cover for damage to their property, (liability limited to £2,000,000 (two million pounds)). The hirer will be responsible for any costs in excess of this in respect of third party damage.


14.4 Under the Damage Protection Programme provided for your hire, we will not charge you the full cost for damage to, or for the loss or the theft of the vehicle. You are only responsible for the damage excess amount noted on the front of your hire agreement, and our reasonable administration fees, which arise when we deal with these matters. However you still have to pay an amount up to the damage excess amount every time you damage the vehicle or any replacement vehicle and you still have to pay an amount up to the damage deposit amount if any replacement vehicle is lost or stolen. If you are involved in an accident which is somebody else’s fault we will try and recover the cost of the repair to our vehicle from the other party, and if we are successful we will be able to refund all or part of your damage deposit at that time. However we can hold you fully responsible for all charges if the damage or theft has been caused by you or an approved driver when;


14.4.1 the vehicle has been used for an illegal purpose;


14.4.2 the vehicle has been overloaded;


14.4.3 damage has been caused by hitting overhead or overhanging objects or spanning constructions;


14.4.4 damage has been caused by hitting low level objects;


14.4.5 the vehicle has been used for racing, speed testing or teaching someone to drive;


14.4.6 the vehicle has been used for carrying fare-paying passengers;


14.4.7 the vehicle has been used in a way that breaks other parts of this contract;


14.4.8 the vehicle has been used for a purpose for which you need an operator's licence if you do not have one;


14.4.9 the vehicle has been driven whilst the driver was under the influence of drink or drugs or could reasonably have been considered unfit to drive;


14.4.10 you have not taken all reasonable care of the rented vehicle when parking it or not making sure that it was properly locked;


14.4.11 you have used the wrong fuel for the vehicle.


Clauses 14.4.1 to 14.4.11 are excluded from our reduced Excess policy, and you will be charged accordingly for any costs that we incur as a result.


You will also be charged for the costs of any call outs unless specifically relating to warranty issues.

 

15. IF YOU HAVE AN ACCIDENT

 

If you have an accident you must not admit responsibility. You should get the names and addresses of everyone involved, including witnesses. You should also;


15.1 make the vehicle secure.;


15.2 tell the police without delay if anyone is injured or there is a disagreement over who is responsible;


15.3 call our nearest branch or representative without delay. You must then fill in our accident report form and send it to the branch the car is hired from.


15.4 In the event of an accident, the rental agreement will be terminated as soon as Ideal Car Hire has received a copy of the accident report completed by you and, where applicable, the third party. If Ideal Car Hire provides a new vehicle, the rental agreement will be amended accordingly.

 

16. IN THE EVENT OF THEFT OR CONFISCATION

 

16.1 In the event of measures by third parties, including attachment, confiscation or impounding of the Vehicle, you must immediately inform Ideal Car Hire in writing. Ideal Car Hire will then be entitled to take all measures which it deems necessary to protect its rights. You will be liable for all damage, cost and/or expenses associated with the above measures and for any direct, indirect, consequential damages (such as loss...) to the Vehicle unless it is demonstrated that Ideal Car Hire is directly responsible for such confiscation or impounding of the Vehicle.


16.2 Furthermore, the rental agreement may be automatically terminated as soon as Ideal Car Hire is informed of such action by the legal authorities or by you.


16.3 Any use of the Vehicle which may be detrimental to Ideal Car Hire will entitle Ideal Car Hire to automatically terminate the rental agreement with immediate effect. You will then return the Vehicle immediately as soon as Ideal Car Hire so requests.


16.4 In the event of theft of the Vehicle, the rental agreement will be terminated as soon as Ideal Car Hire has received a copy of the theft declaration made by you to the police authorities.


16.5 Furthermore Ideal Car Hire will have no responsibility for loss, theft, robbery or damage of whatever nature relating to objects and/or utensils transported or which are found in the Vehicle including, in particular, baggage and/or goods.

 

17. YOUR OWN INSURANCE

 

If you are a business and it is noted on the front of this agreement that you may arrange your own insurance cover for the duration of the rental, you must prove to us that the insurance is valid and make sure the insurance is valid whilst the vehicle is out of our possession. If we have agreed that you may return the vehicle outside business hours or at any other agreed location, your insurance must be valid until the vehicle is re-inspected by a member of staff. We have to agree to the amount of Insurance cover you arrange, the type of policy and the insurer you have chosen. We must be satisfied with the cover and policy conditions, and you must not change them. We may ask your insurers to record our name as owners of the vehicle. You are financially responsible for settling the full claim and paying all costs if the vehicle is damaged, lost or stolen, or a claim is made by any other party.
